After a few years in the Netherlands the drawer fills up: Belastingdienst tax letters, bank statements, insurance and DUO post, nearly all of it printed with your BSN, address and account numbers. Dumping a full bag in the paper bin feels risky and keeping everything takes space, so the real question is which of it can already go.

On the last evening before moving out, with a whole box of old paperwork to clear, the cooling time becomes the real limit: you cannot do it in one go and have to work in rounds. Nor is it built for an office that shreds heavily every day. - First work out which years can go: earliest year you can shred = tax year plus 5. The Belastingdienst says an additional assessment (navorderingsaanslag) must normally be issued within 5 years after the end of the tax year; if you had an extension for that year's return, add the extension period; for income or assets abroad the term is 12 years. If you hold savings in China or another country, keep the papers for those years until the tax year plus 12.
- Then work out how much one round handles: sheets per round is about 4 minutes times 1.8 metres per minute divided by 0.297 metres times 8 sheets. Hokimi tip: sort the letters into two piles by year before you start. Put the years with a foreign account or foreign income aside and keep them on the 12-year term, and treat the rest on 5 years; that way you decide the whole box once instead of opening every envelope again.
